Boards usually do not begin evaluating management companies without a reason. Communication may have become inconsistent. Financial reporting may be difficult to understand. Maintenance may be reactive instead of planned. Vendor follow-up may be unreliable. Or the Board may simply feel that the community has outgrown its current management structure.
Whatever the reason, changing management companies should be a controlled business decision—not a disruption to the community.
Delchester Realty Corp uses a structured evaluation and onboarding process designed to help a Board understand the proposed management relationship before making a decision.
1. Documentation Review
We begin with a review of the association’s key governing and operating documents, which may include the Declaration, Bylaws, Rules and Regulations, resolutions, policies, current budget, contracts, and other relevant records. This provides context for the Board’s responsibilities, existing obligations, and management priorities.
2. Property Assessment
Our team conducts an on-site walk-through to understand the physical property, common elements, maintenance needs, active projects, vendor relationships, and operational workflows. The goal is to identify what is working well, what requires attention, and where stronger management systems may add value.
3. Tailored Management Proposal
After understanding the documents and property, Delchester prepares a management proposal tailored to the association. The proposal can address scope of services, financial responsibilities, reporting, communication expectations, implementation timing, and the transition process.
A Professional Transition
If the Board elects to move forward, the transition should protect continuity. Association records, financial information, contracts, open maintenance items, owner information, active projects, and other operational responsibilities must be organized and transferred carefully.
The objective is straightforward: give the Board confidence that management responsibilities are understood, documented, and being handled from the beginning.
If your Board is considering a management change—even if an RFP has not yet been issued—Delchester Realty Corp welcomes a confidential conversation about your community and what the Board would like to improve.
